What we collect
If you enquire on a listing, we store the name, telephone number, email address, property, viewing preference and message you send, so the office can reply from the office screen. Listing enquiries and repair reports stay on this website; they are not emailed on. If you apply for a tenancy, we also send a full copy of that application to the office email when mail is set up — every answer you gave, plus any files you uploaded — so the office can keep it on file. If you telephone or email the office, we keep the details needed to answer you and to progress a viewing or a tenancy. This website does not run an account login.
Why we use it
We use that information to arrange viewings, prepare tenancy paperwork, manage lets, handle repairs, and meet legal duties that apply to letting and managing agents. We do not sell your details.
Who we share it with
We may share what we need to with the landlord of a house, with contractors for repairs, with referencing or deposit services where a tenancy goes ahead, and with the Property Redress Scheme or Client Money Protect if a complaint or a claim requires it. We may also disclose information if the law requires it.
How long we keep it
Enquiry details that do not become a tenancy are not kept longer than we need to deal with the enquiry. Tenancy records are kept for as long as we must for tax, redress and property management purposes.
Your rights
You can ask for a copy of the personal information we hold, ask us to correct it, or ask us to delete it where the law allows. Write to info@bathpropertyrentals.com or to the office address above.
This website
Pages may be served by a hosting provider that logs standard technical data such as IP address and pages requested, in order to run the site securely. Links to OpenRent, SpareRoom or mapping services take you to other organisations with their own privacy notices. If you report a problem after entering a valid tenant reference, we use that report — including the email you give — to handle the maintenance issue and to reply to you.
Complaints
If you are unhappy with how we have used your information, contact the office first. You can also complain to the Information Commissioner’s Office. Letting complaints that are not about data protection may be taken to the Property Redress Scheme after you have given us a chance to reply.
